Membership Meeting- Election of Officers

Each year the Springfield Community Players elects officers for the new season.  In order to have elections we must have a quorum of 10 paid members.

Officer positions are:


Summary of Position: 

The President of the Springfield Community Players has an overview of all activities and business taking place in the studio.

Duties & Responsibilities: 

  1. Sets an agenda for and presides over Board / General Meetings.
  2. Serves as a liaison between the SCP and the community.
  3. Needs to know town contacts and how to reach them such as the select board, board of education, chamber of commerce, etc.
  4. Helps establish committees and may sit in on their meetings.
  5. Introduces self to new cast and crew members and encourages them to join SCP.
  6. Serves as a mediator if misunderstandings occur.

Vice President:

Summary of Position: 

The Vice President supervises all aspects of the building.  Provides maintenance reports to the general membership during general meetings.

Duties & Responsibilities: 

  1. Over sees all aspects of the building. This includes repairs and/or painting of doors, decks, etc.; arranging for maintenance of plumbing (toilets, sinks); organizing workdays, knowing (sometimes listing) all tasks that need attention that day; purchasing lighting needs and cleaning supplies, installing and removing air conditioners and maintaining them.
  2. Arranges for snow removal from walkways and driveways, removal of snow from roof when needed.
  3. Opens up building for season (April 1st) and coordinates with oil company to turn on water, connect water heater, and furnace for season.
  4. Checks the oil furnace fuel tank periodically and orders fuel when needed and schedules annual cleaning with oil company.
  5. Coordinates volunteers who mow the lawn and keeps the mower(s) in good repair. Instructs volunteers on the operation of SCP mowers, schedules annual tune up on all mowing equipment.
  6. Facilitates monthly meetings when the President is absent.


Summary of Position: 

The Treasurer will administer and manage the financial assets and liabilities of the Springfield Community Players and will be audited by two members of the General Membership at the end of the organizations season (April).

Duties & Responsibilities: 

  1. It shall be the duty of the Treasurer to keep the financial records and to pay all bills contracted by the organization.
  2. The Treasurer shall make a monthly report and will present the financial report during the general meeting.
  3. Balance the financial records at the end of the year, and will provide all documents including bank statements, ledgers, and receipts to the auditors for end of year auditing of records.
  4. The Treasurer shall retrieve all postal mail from post office box and will notify Social Media Manager and Corresponding Secretary of updates to Corporate Sponsorship and General Membership.
  5. The Treasurer shall assume the duties of the President in the absence of the President, Vice-President, and Secretary. 
  6. Each Treasurer shall be bonded.

Corresponding Secretary:

Summary of Position: 

The Corresponding Secretary for the Springfield Community Players is the main conduit for news and messages to all members.

Duties & Responsibilities: 

  1. Must possess an understanding of Microsoft Office software and Gmail Database systems.
  2. Receives and answers email through database (springfieldcommunityplayers@gmail.com).
  3. Acknowledges donations with thankyou letters.
  4. Maintains addresses for all members using Gmail database.
  5. Sends out a quarterly newsletter which includes any messages from the President, a summary of the last meeting’s minutes, and any news since the last meeting.
  6. Sends out email messages about auditions, production needs, prop needs, and workdays, and other gatherings, coordinating information with board members and directors.
  7. Ensures a supply of stamps, letterhead paper and envelopes.
  8. Coordinates the annual corporate sponsorship and annual membership drives.

Recording Secretary:

Summary of Position: 

Records and documents Board and General meetings and provides report of  previous meeting with minutes during General meetings.

Duties & Responsibilities: 

  1. The Recording Secretary records minutes at each Board of Governor / General meeting. The minutes are read at the following meeting to be corrected or amended.
  2. The minutes of each meeting are filed for reference. These files are to be safely maintained for SCP history.
  3. The Recording Secretary also files a copy of the quarterly SCP newsletter with the General meeting minutes.
  4. The Recording Secretary shall support and assist the Corresponding Secretary with the annual corporate sponsorship and annual membership drives.
  5. The Recording Secretary shall assume the duties of the President when both the President and Vice-President are absent.
